Logging Evolve Requests

How should I log requests for work through Evolve?

Evolve requests should be submitted via the Change Control Request form. Please provide as much detail as possible about your proposed task. Screenshots and links are often helpful in illustrating the request. Tick the ‘Please use my Evolve hours for this request’ box in order that we quote for work in time cost rather than money cost.

At your Account Manager’s discretion, tasks may be acknowledged and created on our system ready for estimating as part of casual conversation during the monthly meetings. For clarity of scope on all sides, it remains best practice to submit requests via the Change Control form.

Is there a deadline for submitting my request?

As a minimum expectation, we require that Evolve requests which have a completion expectation of the end of the following month are received 1 week prior to the start of that month. ie. tasks requested for completion at the end of, say, November, should be submitted at least 1 week prior to 1st November. This is in order that SMILE has chance to estimate the work ahead of your planning call.

How quickly will my task(s) be estimated?

We aim to provide an hours estimation within 48 hours of receiving a task request. Feel free to chase us on Live Chat if this time period has elapsed.

What if my request needs more discussion?

Sometimes we may have clarifying questions or require more detail from you in order to accurately estimate your request. In these cases, we will be in touch either through Live Chat, email or in Asana.
